Give every budget line a clear scope

  • Building, block, core and floor covered.
  • Carpet area or separately described stair scope.
  • Method and condition assumptions.
  • Visit frequency and access window.
  • Price per visit, annual allowance and any exclusions.

Separate start-up work from the maintenance year

A floor that has missed maintenance may need an initial deeper clean. Record that as a separate item before estimating the ongoing programme. Some later visits may address only entrances and traffic lanes, rather than repeat the whole-building scope.

An example with visible assumptions

For one building with 750m² cleaned on each visit, the published £2.40/m² band produces an indicative £1,800 per visit. Four equivalent visits would be £7,200 for the year. This illustration excludes an initial restorative visit and any site-specific adjustments; it is not a quote or a recommendation for quarterly cleaning.

Keep evidence alongside expenditure

Match invoices to the agreed building and visit scope. A useful completion record lists the areas finished, exceptions, follow-up items and sign-off. Where photographs are used, obtain the relevant permission and avoid exposing residents’ personal information.

Review the cycle against actual condition

Record where soil returns first and where the carpet remains presentable. Check the routine vacuuming and entrance-matting arrangements before simply increasing every visit. Agree any changed frequency or scope using that review.
