Who we are

Pristine Carpet Solutions is a commercial carpet and upholstery cleaning contractor operating across London. We are the data controller for the personal data described on this page. You can reach us at [email protected] or on WhatsApp at 07488 325796.

What we collect, and when

When you request a survey. The form on this site asks for your name, company, email address, telephone or WhatsApp number, the building and postcode, the sector, the approximate area, access arrangements and any notes you add. We ask for these because we cannot quote commercial cleaning accurately without knowing the site.

When you email or message us. We hold the message and your contact details so we can reply and keep a record of what was agreed.

When you visit this site. We use Cloudflare Web Analytics for aggregate website measurements. This website does not set advertising cookies, use advertising pixels or store a visitor identifier. When you submit an enquiry, we may include the referring website’s hostname, the page you came from and campaign labels present in the survey link. We do not attach your enquiry details to website analytics.

Why we are allowed to hold it

For survey requests and enquiries, our lawful basis is legitimate interests. You have approached us about commercial work and we need your details to respond. Once work is agreed, the basis becomes performance of a contract.

Sending the survey form or downloading the rate card does not subscribe you to marketing. If we ask for permission to send marketing, it will be separate from your enquiry and you can withdraw it.

Where your data goes

We use the following services to operate the website and respond to enquiries. Each provider’s processing is subject to its applicable terms and privacy information.

• HubSpot, our customer relationship system. The survey form on this site submits to HubSpot, and it is where enquiries, quotes and follow-up email are handled. Data is held on HubSpot's EU infrastructure.
• Google Workspace, our mailbox, for email you send us directly.
• Cloudflare, hosting this website and providing the cookieless analytics described above.

We do not sell your data, we do not share it with advertisers, and we do not pass it to other contractors.

How long we keep it

Enquiries that do not become work are deleted 24 months after the last contact. Records relating to work we have carried out are kept for six years after the final invoice, which is the period HMRC requires for business records. Marketing suppression lists are kept indefinitely, because the only way to honour an unsubscribe permanently is to remember it.

Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, ask us to restrict how we use it, or object to us using it at all. There is no charge and we will respond within one month.

If you are unhappy

Tell us first and we will try to put it right. If you are still unhappy you can complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113. You do not need our permission to do that.
