Start with a shared brief. Name the building, carpeted zones, intended outcome and practical constraints. If a detail is not yet known, record it as an open question rather than let each contractor make a different assumption.

What belongs in a fair comparison?

Use the same headings for each quotation. A missing item is a clarification request, not proof that the contractor has included it for free.

Comparison pointQuestion to resolve
Measured areasAre the same floors and carpeted zones included, on the same measurement basis?
Accessible scopeWhat stays beneath fixed furniture, and what will be moved?
MethodHas suitability been assessed for the actual carpet and condition?
Visit patternIs this one restorative visit or a recurring programme with different visit scopes?
AccessAre unloading, lift bookings, security and working windows accounted for?
Drying and reopeningWhat assumptions apply, and who receives the handover instructions?
DocumentsWhich site-specific work documents and insurance evidence will be supplied, and when?
Total and variationsWhat is excluded, what tax treatment applies and how are changes authorised?

A lower total can still be suitable if its narrower scope is what you need. The point is to understand what you are buying and record why it meets the building’s requirement.

A hypothetical example: the same office, different work

Imagine two quotations for the same London office. Quote A includes accessible desk areas, meeting rooms and reception on one visit. Quote B covers reception and selected traffic lanes, with work beneath desks excluded. Neither description establishes which contractor is better, and neither is a real Pristine quotation.

First ask whether you need the whole accessible floor or targeted areas. Then request an itemised clarification against that scope. Do not divide both totals by the building’s gross floor area: that would make different services appear comparable.

Where a survey changes the area or identifies a restriction, update the comparison before raising the purchase order. Keep the accepted written scope with the order so later questions can be resolved against the same record.

Is the same cleaning method essential?

The method needs to suit the carpet and purpose of the visit. Different proposals may be reasonable, but the supplier should explain its assessment and limitations. A method name alone does not demonstrate suitability or promise the same outcome.

Ask about fibre, backing, manufacturer care information, condition and earlier treatment where known. Do not assume that a stain can be removed or that every carpet can be wet cleaned. Pristine does not hot-water-extract viscose, rayon or art silk. The method comparison guide sets out questions to raise at survey.

How should recurring maintenance be compared?

Separate the initial work from later visits. A programme may use targeted zones between wider cleans. Compare the area and task on each proposed visit, the planned review points and the routine care expected between visits. An annual total without those details hides important differences.

The Carpet and Rug Institute provides carpet care and maintenance guidance. Check the actual carpet manufacturer’s requirements when assessing a programme. Do not infer that a contractor has a certification simply because it links to an industry resource.

Use Pristine’s maintenance budget planner to make assumptions visible. It is an indicative tool, not a surveyed quotation or a recommendation that every building needs the same frequency.

What should be confirmed before approval?

Resolve exclusions, access responsibilities, documents, payment arrangements and the process for approving extra work. Agree who receives the completion record and how exceptions will be recorded. Supplier paperwork should describe the actual work; the buyer’s comparison sheet does not replace that assessment.

For a larger procurement exercise, use the commercial carpet tender guide alongside your organisation’s approval procedures. For a single building, a short written comparison can still make the decision clear.
