For facilities managers in London offices, the useful starting point is a furniture responsibility sheet attached to the agreed scope. It connects the accessible carpet area to the people who can actually make it available.

Separate accessible carpet from a furniture-moving service

A meeting room with loose chairs presents a different access question from an occupied desk bank with monitors, cables and storage. Identify the carpet to be cleaned with furniture in its normal position, then record any additional area that becomes available only after an agreed move.

Do not assume every item can be moved by the cleaning team. Ask about handling limits during the office survey walk-through. Heavy, fixed, fragile or connected items need a specific decision. An inaccessible area should be recorded as excluded or conditional rather than quietly included in the expected result.

The same distinction matters when comparing quotes. One supplier may price accessible areas while another assumes the office team will clear an entire room. Resolve the difference before treating their prices as equivalent.

Use a room-by-room responsibility sheet

The following is a planning template, not an instruction to move any particular item. Replace the examples with your building’s actual arrangements and confirm them with the supplier.

For each room, add a readiness deadline and an escalation contact. A person’s name against an action is more useful than a general note that says “client to clear”. Keep the sheet proportionate: it should clarify the booking, not become a second unapproved specification.

What should happen at occupied desks?

Ask staff to follow the office’s own arrangements for personal possessions, confidential papers and equipment. The cleaning supplier should not have to decide where sensitive documents belong. Any IT disconnection or reconnection should remain with the authorised person agreed by the office.

Record desk areas that will remain occupied or unavailable. If a team cannot vacate a zone, discuss a different sequence or a later visit before confirming the programme. Out-of-hours access can help, but it does not resolve furniture permissions on its own.

For a shared London building, distinguish tenant furniture from landlord-controlled communal furniture. The person booking the clean may need another party’s approval before authorising a move.

Check readiness before equipment arrives

Confirm that the agreed preparation has happened, that temporary holding areas remain available and that nothing now obstructs the access plan. Keep equipment and stored furniture within the building’s agreed arrangements. HSE’s cleaning slips and trips guidance identifies trailing wires as a potential hazard; the site assessment should address the actual equipment route.

If preparation is incomplete, record the affected room and ask for a scope or sequence decision. Do not assume a cleaner can make up for an uncleared desk area by moving items outside the agreed handling scope.

Who puts the room back into use?

Agree who returns each item and who receives the completion record. Record any areas left inaccessible, furniture not returned and restrictions that still apply. The planned end of the visit is not automatically permission to restore every item or reopen every zone.

Use the carpet-cleaning handover record to carry those exceptions into the next shift. For the wider service, see office carpet cleaning.
