An event introduces an extra handover between cleaning and occupation. Caterers, staging suppliers and the office team may all need the room first. This page helps event and facilities managers expose those dependencies before a fixed deadline becomes an unrealistic promise.
Find the earliest setup activity
Ask every team using the space for its first access requirement. Include furniture placement, equipment checks and event preparation. A room needed for setup in the morning is not available for cleaning until the afternoon merely because guests arrive that evening.
Identify who controls the event plan and who can approve a change. Where the space belongs to a managed building, verify the tenant’s permission to release any shared carpeted route. Keep private meeting and guest information out of the contractor’s brief.
Map the carpet and the event footprint
Describe which zones will remain visible or accessible and which will sit beneath staging or fixtures. Do not assume that a final event layout describes the access available during cleaning. The room may need a different furniture arrangement beforehand.

| Programme point | Information to confirm |
|---|---|
| Room released | Last ordinary use and preparation owner |
| Carpet work | Assessed scope and agreed visit period |
| Return to use | Conditions and receiving check |
| Event setup | First delivery or supplier entry |
| Guest arrival | Final event requirement |
This is a dependency map rather than a duration estimate. Discuss the actual intervals with the surveyor. A short gap does not establish that a particular process is suitable or that drying can be accelerated to meet it.
Protect the sequence after the clean
Agree how later suppliers will use the room without conflicting with the carpet handback arrangements. If staging or deliveries are moved earlier, the office contact should review the sequence with the contractor. A changed event plan can change the usable work window.
In a hypothetical launch event, the first furniture delivery may occur a day before guests arrive. The cleaning plan needs that earlier date. Otherwise, a programme that appears generous on the invitation calendar may be unavailable in practice.
Keep a fallback before the deadline
Discuss the options if the room cannot be released or the assessed conditions do not support the intended reopening. That may mean a smaller agreed scope, another period or deferring the work. Any revised programme and charge need explicit agreement.
The after-hours office cleaning article covers broader access responsibilities. Use the drying guide to prepare questions about the interval before event setup.
Request a pre-event carpet survey
Send Pristine the London postcode, carpet area, room photographs and earliest supplier access time. State that the deadline is event-related and identify any dates still provisional.
Request a free site survey through the office carpet service, subject to availability. A survey-based written proposal should establish what can reasonably be planned before you rely on the cleaning slot in the event programme.
