A holiday booking can still coincide with clubs, staff preparation, deliveries or building works. A room schedule gives the site team and contractor a shared view of those conflicts before equipment arrives. This guide focuses on that schedule, with a blank format you can adapt.
Which school rooms need carpet cleaning?
Walk the proposed areas with the site manager and record carpeted rooms by their actual identifiers. Separate classrooms from circulation routes and upholstered staffroom furniture. A room with mixed surfaces should have the carpet portion clearly described. Cleaning furniture is a separate scope, even when it sits in the same room.
Identify fixed storage and teaching resources that restrict access. Ask who may move each item and where it can go. Do not count a whole classroom as accessible if cupboards, equipment or stored materials will remain across the floor. Share any known carpet product and care information at the survey.
Build a school holiday cleaning schedule
Use the earliest real occupation time for each room. That might be a holiday club, a teacher returning to prepare lessons or a contractor collecting materials. The published term date can be later than all three.

| Room or zone | Available from | Needed again | Dependency to confirm |
|---|---|---|---|
| Carpeted classroom | Site team to enter | Staff preparation time | Resources cleared by authorised staff |
| Library carpet | Site team to enter | First booked activity | Furniture responsibility agreed |
| Carpeted corridor | Site team to enter | First required passage | Approved route arrangements |
| Staffroom seating | Site team to enter | Staff return | Separate upholstery assessment |
This is a planning template, not a promised programme. Leave unknown times open and resolve them before approving the visit. For a multi-day plan, record who secures the rooms between visits as well as who provides entry.
What happens if decorators are still working?
Ask the school to confirm the sequence with its other contractors. A classroom still being used for storage or preparation may need a later slot. Agree what happens if it is unavailable when the cleaning team arrives, including who may approve a smaller scope or another visit.
For example, a hypothetical school might release its library first while classroom furniture remains in a corridor. The library could be assessable, but the blocked corridor cannot automatically become the equipment route. The site team needs to resolve both decisions together.
Who checks the rooms before reopening?
Name the school contact who will receive the completion record and check the agreed access and drying conditions. A message saying the cleaners have left is different from confirmation that every room is ready for its next use. Record any unavailable areas and outstanding checks by room.
Use the drying and reopening guide to discuss relevant conditions at survey. Avoid making a universal next-morning promise from the holiday timetable. Carpet suitability, ventilation and the assessed method still matter.
Can cleaning be booked before the holiday dates are final?
You can enquire with provisional availability, but identify it as provisional. Confirm the actual rooms, access times and next occupation before approving a programme. A survey request does not reserve a cleaning slot or establish a final quotation.
